For goods on the move

E-way bills that come from the invoice so the truck doesn’t wait

Whenever goods worth more than ₹50,000 move, you need an e-way bill. Milaan ERP takes the details from your invoice, challan or job work note, adds the vehicle and transporter, and keeps track of when each e-way bill expires.

What it is

An e-way bill travels with the goods, not the payment

An e-way bill is an electronic document that has to be generated before goods worth more than ₹50,000 are moved, whether the movement is a sale, a branch transfer, a job work dispatch or a return. It has two parts: Part A with the invoice and goods details, and Part B with the vehicle number.

Every e-way bill has a validity, based on distance: generally one day for every 200 km for normal cargo. If the truck breaks down or the goods are shifted to another vehicle, Part B has to be updated. If the trip is cancelled, the e-way bill can be cancelled within 24 hours.

Milaan ERP takes the e-way bill details from the documents you already make. Invoices, delivery challans and job work notes carry the goods, values and addresses. Add the transporter and vehicle, and the details are ready. A list shows every e-way bill with its validity, so nothing expires on the road unnoticed.

Some states set a higher limit than ₹50,000 for movements within the state. The value limits are settings, so you can match your state’s rule.

Common problems

Where e-way bills go wrong, and how we fix it

These are the problems dispatch teams run into most often.

  • Truck waits at the gate

Someone types invoice details onto the portal while the driver waits.

    Details from the invoice

E-way bill details are taken from the invoice. Add the vehicle number and you’re done.

  • Validity runs out

A delay on the road means the e-way bill expires and the goods can be detained.

    Validity list with alerts

See every e-way bill with its expiry, so you can extend in time.

  • Vehicle changes not updated

Goods are shifted to another truck, but Part B still shows the old number.

    Part B updates recorded

Change the vehicle on the e-way bill and keep a record of every change.

  • Challans forgotten

Branch transfers and job work go out without an e-way bill because there is no invoice.

    Challans count too

Delivery and job work challans carry e-way bill details just like invoices.

How it works

One dispatch, step by step

From invoice to delivery with the e-way bill in order.

  1. Invoice made Step 1

The bill is made as usual. Because the value is over ₹50,000, the software marks it as needing an e-way bill.

  2. Transport added Step 2

The dispatch team adds the transporter, vehicle number and LR. Distance is worked out from pin codes.

  3. On the road Step 3

The e-way bill travels with the goods. If the truck breaks down, the vehicle number is updated in Part B.

  4. Delivered Step 4

The goods arrive within validity. The record stays linked to the invoice for any later check.

The rules in brief

E-way bill rules in simple words

An e-way bill is needed when goods worth more than ₹50,000 move, counting the value of the goods including tax. Some states use a higher limit for movements within the state. Validity is generally one day for each 200 km (or part of it) for normal cargo, and one day per 20 km for over-dimensional cargo.

A generated e-way bill can be cancelled within 24 hours if goods don’t move. Validity can be extended before it runs out if the goods are delayed. Some goods, like many unpackaged food items, don’t need an e-way bill at all.
