Why it matters

Customers read WhatsApp. They lose paper bills.

A printed bill gets folded into a pocket and forgotten. An emailed bill sits unread. But almost every customer, from a kirana store owner to a company’s purchase manager, checks WhatsApp many times a day.

Sending bills on WhatsApp is perfectly fine under GST. What matters is that a proper tax invoice is issued; how you deliver it is up to you. A digital copy is also easier for your customer’s accountant to use when claiming credit.

Milaan ERP sends the bill as a PDF straight from the bill screen. The PDF looks exactly like your printed invoice, with all GST details and, if you like, a UPI QR for the exact amount. Statements of account and payment reminders go out the same way, so collections become a message instead of a phone call.

Every document sent is recorded against the customer, so you know what they received and when.

Everyday problems

What slows down billing and collections, and how WhatsApp helps

Small, daily hassles that add up.

  • “Please send the bill again”

Customers lose paper bills and ask for copies, often at month end.

    Bill on their phone

The PDF is on WhatsApp from the moment it’s made. Resend any old bill in one tap.

  • Chasing payments by phone

Staff spend hours calling customers about overdue bills.

    Polite reminders

Send a reminder with the pending bills attached, to one customer or many.

  • Typing UPI amounts

Customers pay the wrong amount or forget the bill number.

    UPI QR in the PDF

The bill carries a QR for the exact amount, so paying is a scan.

  • Disputes about balances

    Customers question what they owe.

    Statements on demand

Send a statement of account with every bill and payment listed.

How it works

From bill to payment

A typical bill’s journey over WhatsApp.

  1. Bill made 11:00 am

The office makes a bill for ₹18,880. The customer’s WhatsApp number is already saved.

  2. Sent 11:01 am

One tap sends the PDF with a UPI QR for the exact amount.

  3. Paid 2:30 pm

The customer scans the QR and pays. The bill number in the payment note makes matching easy.

  4. Reminder for others 6:00 pm

Customers with overdue bills get a polite reminder with their pending bills attached.

What the law asks

Is a WhatsApp bill valid under GST?

Yes. GST rules decide what a tax invoice must contain, not how it is delivered. A PDF tax invoice with all the required details is as valid as a printed one. For goods in transit, the transporter still needs the invoice or e-way bill details, which Milaan ERP prints as usual.

If you issue e-invoices, the PDF you send includes the IRN and signed QR code, so your customer can check it is registered. Ask customers before sending reminders, and keep messages polite and to the point.

Tip: GST rules change from time to time. This page explains them in simple words; for advice on your own case, please speak to your CA.

  • PDF tax invoices are validWith all required details.
  • Same content as printedGSTINs, HSN, tax and more.
